Accessing Patient Record Tabs
This page appears when Harvest Webstation is unable to
find a match for your entry in the Patient or ID field from the
Order Samples: Patient & Order
Choices page, when you click the Add Patient button in the Order Samples:
Find Patient or Order
Samples: Patient List pages, when there is only one match from a
patient search accessed from the main Results
page, or if you click a patient name in the Patient
Search Results, Unreleased
Orders, Orders in Progress
(technologists only), or Completed
Results pages.
Harvest Webstation displays the Patient tab by default when you
access the page during order entry, or it displays the Orders
tab when you access the page by performing a patient search or click
a patient's name on any of the order list pages.
Click the Encounter tab to create or edit encounter information
or access the Patient,
Orders, Insurance,
Alerts, or Recurring
Orders tabs. If you make changes to the information on any of these
tabs and then click on a different tab, the changes will automatically
be saved. If there are alerts for the patient, then the Alerts tab name
appears as "Alerts!" with an exclamation point.
IMPORTANT: When creating a new patient record, you must save the information on the Patient tab before you may enter insurance, encounter, or alert information.
IMPORTANT: You will receive an alert and not be able to edit the encounter information
if another user is currently modifying the patient's record.
Creating a New Encounter
The patient's Name and Patient ID are listed at the top of the tab. Note that Harvest Webstation appends "[DECEASED]" to the patient's name if the patient is marked as deceased on the Patient tab or in Harvest.
Note that you must have the necessary security settings in order to edit
information on the Encounter Tab. See Configuring Harvest Webstation: Establishing Security Settings for more
information. Otherwise, you may only view the information on the Encounter
Tab.
- To assign an encounter number, enter the value in the Encounter
ID field.
- Enter a date and time in the Date Opened fields, or click Now to enter the current date and time.
- Enter or select the appropriate information for the encounter details:
- Admission Type: Select an option from the drop-down list to set the admission type and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest.
- Room Num: Enter the patient's room number, if applicable. If the person placing the order entered a room number for the encounter during order entry, then that value appears here. See Order Samples:

- Bed: Enter the patient's bed number or location, if applicable.
- Patient Class: Select an option from the drop-down list to set the patient class and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest.
- Patient Type: Select an option from the drop-down list to set the patient type and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest.
- Attending Provider: Select a provider from the drop-down list to indicate the provider responsible for the patient for the selected encounter.
- Referring Provider: Select a provider from the drop-down list to indicate the provider who referred the patient for the services included in the selected encounter. Harvest Webstation may display the value sent via the HL7 interface, if available.
- Consulting Providers: Click the ellipsis button to open the Select Consulting Providers dialog box and select the consulting providers from the list. Once selected, you can Clear, Cancel, or Save your selection.
- Financial Class: Select an option from the drop-down list to set the financial class and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest. Harvest Webstation may display the value sent via the HL7 interface, if available.
- Place any comments related to the encounter in the Comments
field.
- Click Clear
at any time to remove the contents from the fields, allowing you to
enter new information.
- Click Save
to store the encounter in the patient’s file.
Editing an Encounter
- To edit an encounter, click the ID of the encounter from the
list of the patient's existing encounters located at the bottom of the
page. The list of available encounters includes both open and closed
encounters that have been created for the patient.
- The details for the selected encounter are displayed in the fields
above the list.
- Edit the values as needed as you would when adding an encounter (see
above).
- Click Save
to store the updated encounter in the patient’s file.
Closing an Encounter
- To close an encounter, click the ID of the encounter from the
list of the patient's existing encounters located at the bottom of the
page.
- The details for the selected encounter are displayed in the fields
above the list.
- Enter a date and time in the Date Closed fields, or click Now to enter the current date and time.
- Place any comments related to closing the Encounter ID in the Comments
field.
- Click Save
to store the encounter in the patient’s file.
Deleting an Encounter
To delete an encounter, do one of the following:
- Click the ID of the encounter from the list of the patient's
existing encounters that are listed at the bottom of the page.
- The selected encounter details are displayed in the fields above the
list.
- Click Delete
to remove the encounter from the patient's file.
- A confirmation dialog box appears. Click OK to delete the encounter,
or click Cancel to return to the Encounter tab page.

- Find the encounter on the list of the patient's existing encounters
located at the bottom of the page.
- Click the X
button that corresponds to the encounter that you wish to remove.
- A confirmation dialog box appears. Click OK to delete the encounter,
or click Cancel to return to the Encounter tab page.
If you accessed this page during order entry, access the Patient
tab and then click the Save & Return to Order button to save your changes and return to the preceding page.
If you accessed this page from performing a patient search, click the
Save button to save your changes.
